Privacy Policy
This policy explains what personal information EnergyAE collects, why we collect it, who sees it and how to reach us about it.
Last updated: 2 November 2026
1. Who this applies to
This policy covers personal information collected by Energy Analysis & Engineering Limited (New Zealand, NZBN 9429052050404) and Energy Analysis & Engineering Pty Ltd (Australia, ABN 60 601 543 220), both trading as EnergyAE. It applies to this website, to our email and quoting, and to our TRNSYS software licensing service. We handle personal information in line with the Privacy Act 2020 (New Zealand) and, for the Australian entity, the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
2. What we collect and why
Enquiries and quote requests. When you use a form on this website, we collect the name, email address, company and message you enter, plus any project details you choose to give us. We use them to reply and to prepare a quote. The forms are protected by a Cloudflare Turnstile check, and the submission reaches us as an email.
Quotes, orders and invoices. To issue a quote or invoice we hold the contact name, email address and organisation details of the person we are dealing with, in our Xero accounting system.
Mailing list. If you subscribe to our newsletter, unlock a calculator, download a guide, register for a webinar or request a quote, we may add your name and email address to our mailing list, which runs on Resend. Every newsletter has an unsubscribe link, and you can also ask us to remove you at any time.
Project documents. Clients who upload test reports, drawings or other project files through our project forms send them to a restricted folder in our Microsoft 365 environment. Those files are covered by the confidentiality clause in our Terms and Conditions.
Website use. We use Google Analytics to count visits and see which pages are read. It records page views, the type of device and browser, and approximate location, using cookies. You can block it with the Google Analytics opt-out browser add-on or your browser's cookie settings.
3. TRNSYS licences and the software
EnergyAE is the distributor of TRNSYS for our region. To issue a licence we record the licence holder's name, the organisation and department, the number of seats, and the activation username the customer chooses. The username is often an email address, and an organisation can choose a shared one such as a generic team address. When a user activates a copy, they enter that username and the machine code shown by the software. We hold this in our licence register, and the same details are held in the licence database run by CSTB, the French building science centre that distributes TRNSYS. CSTB is outside New Zealand and Australia.
TRNSYS is an offline simulator. It runs on the user's own computer, and the models and results a user creates stay on that computer. EnergyAE does not receive them. A network (floating) licence is the exception to working offline: it needs a connection to a licence server while the software runs.
We use licence details only to issue, activate and support the licence, and to invoice for it. A copy can be released from a computer by the user from the ? tab in Simulation Studio (Withdraw licence), or by us on request.
4. Who we share information with
We do not sell personal information. We use service providers to run our business: Netlify (website hosting), Resend (email and the mailing list), Cloudflare (form protection), Google (analytics), Microsoft (email and file storage), Xero (invoicing), and CSTB (TRNSYS licence database). Each receives only what it needs for its part. Some of them store data outside New Zealand and Australia.
We also disclose personal information where the law requires it, or where a client has asked us to include it in a submission to a regulator or scheme administrator.
5. How long we keep it and how we protect it
We keep personal information for as long as we need it for the purpose it was collected, and for the period that tax and company law require us to keep business records. After that we delete it.
Access to the systems above is by individual login, and limited to the staff who need it for their work.
6. Your rights and how to contact us
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Email info@energyae.com and we will reply within 20 working days.
If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner in New Zealand or the Office of the Australian Information Commissioner in Australia.
