ESS File Structure

File naming convention and organisation for ESS IHEAB audit files.

ESS (IHEAB) audit files use a different structure than VEU. The TESSA portal does not accept ZIP files — all files must be uploaded individually.

Folder Structure

Recommended folder layout for ESS submissions:

Note: TESSA does not accept ZIP files. All files are uploaded individually — there is no folder hierarchy on the portal. The folder structure above is for local organisation before upload.

Key ESS Requirements

  • ZIP files are NOT accepted — you must upload all files individually to the TESSA portal
  • The Specifications sheet is not required for ESS (unlike VEU)
  • Upload files one at a time through the TESSA portal interface

Manufacturer Declaration

A Manufacturer Declaration is required when model names differ between documents (e.g. the model name on the EN 14511 report does not exactly match the model name being submitted). This is common when test reports were conducted on a prototype or a slightly different variant.

A template is available on SharePoint: Templates/Manufacturers_Declaration_Template.docx. When sending declarations for signing, use the Declaration Signing Email Template.

Authorisation Letter

An Authorisation Letter is required when the applicant does not own the test reports being submitted (e.g. the Australian distributor is applying but the test reports are in the manufacturer’s name).

A template is available on SharePoint: Templates/Authorisation Letter Template.docx. When sending authorisation letters for signing, use the Declaration Signing Email Template.
