How to Prepare Audit Files
How to use the Commercial TRNSYS Tool to produce and organise audit files.
Most audit files are produced directly by the Commercial TRNSYS Tool. Use the Audit tab to assemble and rename files into the correct folder structure automatically.
Step 1: Produce Files Using TRNSYS Tool Macros
Run each of the following macros from the TRNSYS Tool before assembling the audit package. Each button is found on the main tool ribbon or in the FAM_COM sheet.

| ESC Form | Generates the VEU commercial application form (.xlsx). |
| Product Upload Form | Produces the VEU product upload form (.xlsx) for bulk import to the VEU portal. |
| Tank Heat Loss Export | Exports the Appendix E tank heat loss calculation spreadsheet from the Tanks sheet. Required for all tanks >700L. |
| Com TRNSYS Files | Copies the final TRNSYS files (.dck, .lst, .out) from the FAM_COM folder in C:\TRNSYS15\Include&weather\ into the audit folder. Also copies HPdata.txt and HPdata.xlsx. |
Step 2: Gather Client-Provided Documents
Collect all remaining audit files from 02-Client_Material in the project SharePoint folder. These are the documents originally provided by the client:
- EN 14511 test report
- AS/NZS 4692.1 report (tanks ≤700L)
- AS/NZS 2712 certificate (tanks ≤700L)
- AS/NZS 3498 certificate (potable water contact components)
- Tank drawing
- System schematic
- Control declaration
- Pump specifications
- Pipe insulation specification
- Data plate images
- Installation manual
- Electrical safety certificate
Confirm each file is present before assembling audit folders. If any document is missing, request it from the client before proceeding using the Missing Documents Follow-up Email Template.
Step 3: Prepare Audit Files Using the Audit Tab
The Audit tab in the TRNSYS Tool automates file copying, renaming, and folder creation.
Before you start:
- Ensure all TRNSYS tool macros (Step 1) have been run and output files are in the expected locations.
- Ensure all client-provided documents are saved in
02-Client_Material.
Step 3a: In the Audit tab, add each model being submitted to the table. For each model, specify:
- Application folder name: all models going into the same VEU application should share the same folder name.
- Equivalent model (if applicable): if a model is identical to another already-modelled model, specify the equivalent here. The macro will copy and rename the equivalent model’s files rather than requiring re-modelling.
Step 3b: For each column in the Audit tab table (each document type), enter the filename of the corresponding file in 02-Client_Material. The macro will find these files and copy them into the correct audit subfolder.
Step 3c: Click Prepare Audit Files. The macro will:
- Create the correct folder structure under
05-Submission. - Copy each file into the correct subfolder.
- Rename files according to the
Brand_Model_suffixnaming convention.
Step 3d: Click Add Models to Product Upload Form if there are duplicate/equivalent models. This adds the duplicate model entries to the product upload form automatically.
Step 4: Self-Review Before Gate B
Once the audit package is assembled, do a thorough self-review before requesting Gate B peer review:
- Open each PDF and confirm it is legible, correctly named, and matches the model being submitted.
- Check model name consistency across all documents.
- Verify TRNSYS file names follow the naming convention.
- Open the 4234 report and spot-check certificate values against the Com_Results sheet.
- Confirm the
HPdata.xlsxnormalisation export is included in the TRNSYS_Files folder. - For VEU: confirm the product upload form and specifications sheet are included.
- For ESS: confirm no ZIP files are included (TESSA does not accept ZIPs — all files must be uploaded individually).
